At RaqeebIT 360 ("we", "us", "our"), we take your privacy seriously. This Privacy Policy explains how we collect, use, store, and protect your information when you use our IT Asset Management platform.

1. Information We Collect

1.1 Information You Provide

  • Account information: Name, email address, company name, password (encrypted).
  • Billing information: Payment details processed securely through our payment provider. We do not store full credit card numbers.
  • Communications: Messages you send us through support, contact forms, or email.

1.2 Information Collected Automatically

  • Device telemetry: Hardware specs, operating system, installed software, performance metrics (CPU, RAM, disk), network configuration — collected only from devices where you installed our agent.
  • Usage data: Pages visited, features used, browser type, IP address, session timestamps.
  • Cookies: Essential cookies for authentication and session management. We do not use third-party tracking cookies without consent.

1.3 Event Collection — Granular Customer Control

We collect device events (boot, shutdown, software updates, crashes, etc.) only when explicitly authorised by the tenant administrator via the Event Collection Policies setting in the dashboard. We classify events into two groups:

  • Operational events (hardware errors, system operations, crashes, updates, firewall changes) — enabled by default. These describe the state of the device, not the user.
  • Surveillance events (user logins, USB activity, network changes) — disabled by default. They can only be enabled with explicit acknowledgement that the tenant has informed end-users about monitoring, in compliance with applicable employment and data protection laws.

Retention is configurable per policy between 1 and 60 days. Events older than the configured retention are automatically purged daily. The tenant administrator can change these settings, see exactly which events apply to each device, and disable any category at any time.

2. How We Use Your Information

  • To provide, maintain, and improve the RaqeebIT 360 service.
  • To send service-related notifications (alerts, security updates, billing).
  • To respond to support requests and communicate with you.
  • To detect, prevent, and address fraud or technical issues.
  • To comply with legal obligations.

We do not sell your personal data or device data to third parties.

3. Data Storage and Security

Your data is stored on secure servers in data centers with industry-standard physical and network security measures. We use:

  • Encryption in transit: All connections use TLS 1.2+.
  • Encryption at rest: Sensitive fields are encrypted in our database.
  • Access controls: Strict role-based access for our staff.
  • Regular backups: Daily automated backups with 30-day retention.
  • Audit logs: All sensitive actions are logged for security review.

4. Multi-Tenant Isolation

Each customer (tenant) has logically isolated data. Other tenants cannot access your devices, alerts, users, or any other information. We enforce this isolation at the application and database levels.

5. Data Sharing

We share your information only in these limited cases:

  • Service providers: Cloud hosting, payment processing, email delivery — bound by strict confidentiality agreements.
  • Legal obligations: If required by law, court order, or to protect our legal rights.
  • Business transfers: In the event of a merger or acquisition, with prior notice to you.

6. Your Rights

You have the right to:

  • Access your personal data we hold.
  • Correct inaccurate data.
  • Delete your account and associated data at any time.
  • Export your data in a portable format.
  • Object to certain types of processing.

7. Data Retention

We retain your data for as long as your account is active. After account deletion:

  • Personal data is removed within 30 days.
  • Anonymized usage statistics may be retained for analytics.
  • Backups are purged within 90 days.
  • Some data may be retained longer where required by law (tax/billing records).

8. International Data Transfers

Our servers are located in data centers that may be in different countries. By using RaqeebIT 360, you consent to the transfer of your data to these locations, which maintain appropriate safeguards.

9. Children's Privacy

RaqeebIT 360 is not intended for use by anyone under 18 years of age. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Significant changes will be communicated by email or in-app notification at least 30 days before they take effect.

١. المعلومات التى نجمعها

١.١ المعلومات التى تقدّمها

  • معلومات الحساب: الاسم، البريد الإلكترونى، اسم الشركة، كلمة المرور (مشفّرة).
  • معلومات الفوترة: تتم معالجة بيانات الدفع بأمان عبر مزوّد الدفع. لا نخزّن أرقام بطاقات الائتمان الكاملة.
  • المراسلات: الرسائل التى ترسلها إلينا عبر الدعم أو نماذج التواصل أو البريد.

١.٢ معلومات تُجمَع تلقائيًا

  • قياسات الأجهزة: مواصفات العتاد، نظام التشغيل، البرامج المثبتة، مقاييس الأداء (المعالج والذاكرة والقرص)، إعدادات الشبكة — تُجمَع فقط من الأجهزة التى ثبّتت عليها الوكيل.
  • بيانات الاستخدام: الصفحات المزارة، المميزات المستخدمة، نوع المتصفح، عنوان IP، طوابع وقت الجلسة.
  • ملفات تعريف الارتباط (الكوكيز): كوكيز أساسية لإدارة المصادقة والجلسات. لا نستخدم كوكيز تتبع من أطراف ثالثة دون موافقة.

١.٣ جمع الأحداث — تحكّم العميل الدقيق

نجمع أحداث الأجهزة (التشغيل، الإيقاف، تحديثات البرامج، الأعطال، إلخ) فقط عند تفويض صريح من مدير الحساب عبر إعداد سياسات جمع الأحداث فى لوحة التحكم. الأحداث مقسّمة لمجموعتين:

  • الأحداث التشغيلية (أخطاء الهاردوير، تشغيل النظام، الأعطال، التحديثات، تغييرات Firewall) — مفعّلة افتراضياً. تصف حالة الجهاز، لا المستخدم.
  • أحداث المراقبة (دخول المستخدمين، نشاط USB، تغييرات الشبكة) — معطّلة افتراضياً. لا يمكن تفعيلها إلا بإقرار صريح من المسؤول بأنه أبلغ موظفيه بالمراقبة، طبقاً لقوانين حماية البيانات المعمول بها.

مدة الاحتفاظ قابلة للتخصيص لكل سياسة بين ١ و ٦٠ يوم. تُحذف الأحداث الأقدم من المدة المحددة تلقائياً يومياً. يمكن للمسؤول تعديل هذه الإعدادات فى أى وقت، ورؤية ما يسرى على كل جهاز، وإيقاف أى فئة.

٢. كيف نستخدم معلوماتك

  • لتقديم خدمة RaqeebIT 360 وصيانتها وتحسينها.
  • لإرسال إشعارات متعلقة بالخدمة (تنبيهات، تحديثات أمنية، فواتير).
  • للرد على طلبات الدعم والتواصل معك.
  • لاكتشاف الاحتيال والمشكلات التقنية ومعالجتها.
  • للامتثال للالتزامات القانونية.

نحن لا نبيع بياناتك الشخصية أو بيانات أجهزتك لأى طرف ثالث.

٣. تخزين البيانات والأمن

يتم تخزين بياناتك على خوادم آمنة فى مراكز بيانات تتبنى معايير الحماية المادية والشبكية فى الصناعة. نحن نستخدم:

  • التشفير أثناء النقل: جميع الاتصالات تستخدم TLS 1.2 فأعلى.
  • التشفير فى الحفظ: الحقول الحساسة مشفّرة فى قاعدة البيانات.
  • ضوابط الوصول: صلاحيات صارمة حسب الدور لفريقنا.
  • نسخ احتياطية منتظمة: نسخ يومية تلقائية مع احتفاظ لمدة ٣٠ يومًا.
  • سجلات التدقيق: جميع الإجراءات الحساسة تُسجَّل للمراجعة الأمنية.

٤. العزل بين العملاء

كل عميل (مستأجر) يمتلك بيانات معزولة منطقيًا. لا يمكن للعملاء الآخرين الوصول إلى أجهزتك أو تنبيهاتك أو مستخدميك أو أى معلومات أخرى. نفرض هذا العزل على مستوى التطبيق وقاعدة البيانات.

٥. مشاركة البيانات

نحن نشارك معلوماتك فقط فى هذه الحالات المحدودة:

  • مزوّدو الخدمة: الاستضافة السحابية، معالجة المدفوعات، توصيل البريد — مرتبطون باتفاقيات سرية صارمة.
  • الالتزامات القانونية: عند الطلب بموجب القانون أو أمر المحكمة أو لحماية حقوقنا.
  • تحوّلات الأعمال: فى حالة الاندماج أو الاستحواذ، مع إشعار مسبق لك.

٦. حقوقك

لك الحق فى:

  • الوصول إلى بياناتك الشخصية التى نحتفظ بها.
  • تصحيح البيانات غير الدقيقة.
  • حذف حسابك والبيانات المرتبطة به فى أى وقت.
  • تصدير بياناتك بتنسيق قابل للنقل.
  • الاعتراض على أنواع معينة من المعالجة.

٧. الاحتفاظ بالبيانات

نحتفظ ببياناتك طالما كان حسابك نشطًا. بعد حذف الحساب:

  • تُحذَف البيانات الشخصية خلال ٣٠ يومًا.
  • قد نحتفظ بإحصاءات استخدام مجهولة الهوية للتحليلات.
  • تُحذَف النسخ الاحتياطية خلال ٩٠ يومًا.
  • قد تُحفَظ بعض البيانات لفترة أطول عند اشتراط القانون (سجلات الضرائب/الفوترة).

٨. نقل البيانات دوليًا

توجد خوادمنا فى مراكز بيانات قد تكون فى دول مختلفة. باستخدامك RaqeebIT 360، فإنك توافق على نقل بياناتك إلى هذه المواقع، والتى تلتزم بالضمانات المناسبة.

٩. خصوصية الأطفال

RaqeebIT 360 غير مخصصة للاستخدام من قبل أى شخص تحت سن ١٨ عامًا. نحن لا نجمع عن معرفة أى معلومات شخصية من الأطفال.

١٠. التغييرات على هذه السياسة

قد نقوم بتحديث سياسة الخصوصية هذه من وقت لآخر. سيتم إبلاغك بالتغييرات الجوهرية عبر البريد الإلكترونى أو إشعار داخل التطبيق قبل ٣٠ يومًا على الأقل من سريانها.
